How to manage your certificates in the platform

The Certificates feature in Edmingle enables you to create, customize, and issue professional certificates for your learners directly from the platform. By managing certificates effectively, you can automate issuance upon course completion, apply dynamic learner details using placeholders, and design branded templates that reflect your institution’s identity. This ensures learners receive timely, verifiable proof of achievement while saving administrators valuable time through automation and consistency.

Navigation

To access the certificates in LMS, Click on certificates which is on the left hand side of the menu bar.

AlertCarefully follow the instructions below that will guide you on how to navigate to the “Certificates” section in your organization’s learning platform.

Certificates

The Certificates section in the platform allows you to create, edit, and issue certificates to learners with ease. From this dashboard, you can view and manage all certificates that have been set up in your institution.

  • The page lists key details such as Certificate Name, Description, Serial Prefix, Issued count, and Validity.

  • A search bar is available to quickly locate specific certificates.

  • The Create New Certificate button on the top right lets you design and configure new certificate templates.

This central view ensures that administrators can efficiently track issued certificates, maintain consistency in design, and provide learners with valid proof of their achievements.

How to Create & Automate Certificates

The Certificates feature in Edmingle allows you to design professional certificates and issue them to learners either manually or automatically based on completion rules.

Step 1: Access Certificates

  1. Go to Settings → Certificates.

  2. Click on Create New Certificate (top-right).

Step 2: Enter Certificate Details

On the Create Certificate Template screen:

  • Certificate Name → Enter a name for the certificate.

  • Serial Prefix → Add a unique prefix to identify certificates.

  • Short Description (Optional) → Add notes for internal use.

Step 3: Set Orientation & Validity

  • Choose Landscape or Portrait layout for the design.

  • Under Validity, set whether the certificate will:

    • Expire after a set number of days, or

    • Never expire (default).

Step 4: Upload HTML Template

  • Under HTML Template, click to upload or select your certificate template. (This is mandatory.)

  • You can include placeholders like learner name, course name, or completion date to personalize certificates.

  • Use the View Placeholder button to see available dynamic fields.

Step 5: Add Custom Fields (Optional)

  • Select Custom Fields (like learner details, institution details, etc.) to display additional personalized information on certificates.

Step 6: Automate Certificate Generation (Optional)

To issue certificates automatically:

  1. Check Automate Certificate Generation.

  2. Choose Certification Criteria:

    • Courses → Certificates are generated after learners complete selected courses.

    • Exams → Certificates are generated after learners pass chosen exams.

  3. If using Courses:

    • Select a course under Add Course.

    • Define a minimum Completion % required for certification.

    • Use + Add Courses to apply multiple course criteria if needed.

Step 7: Save Certificate

  • Once all details are entered, click Create Certificate.

  • Your template will be saved and certificates will be issued either manually or automatically based on your setup.

✅ With this setup, you can ensure learners receive professional, branded certificates instantly upon meeting requirements, while reducing manual admin work.

Issue Certificates

The Issue Certificate screen allows administrators to distribute certificates to learners either manually or through a bulk issue process.

  • Course/Project Name: Select the course or project linked with the certificate.

  • Issued Date: Define the date on which the certificate will be issued.

  • Start and End Date (Optional): Specify the learning period for which the certificate is valid.

  • Select Learners:

    • Filter learners by course.

    • Choose between Select all learners or Select learners manually.

    • Search learners by name and tick checkboxes to include them.

  • Import from File: Upload a CSV file for bulk issuance, useful when including personalized fields such as student ID, grades, or unique details.

NotesNote: The details set here apply to all selected learners. For more personalized information (like grades or IDs), issue certificates individually or via the Bulk Issue (CSV) option.

This feature provides flexibility to issue certificates to single learners, selected groups, or entire batches, ensuring a smooth and scalable certification process.


Certificate Details
NotesThe Certificate Details screen provides an overview of all certificates issued under a specific template. From here, administrators can monitor status, manage learner-specific certificates, and take quick actions.

Key Information Displayed

  • Serial Prefix: Unique identifier prefix assigned to the certificate template.

  • Validity: Defines whether the certificate is always available or has an expiry.

  • Certificates Issued: Total number of certificates generated for learners.

  • Certificates Published: Number of certificates published and visible to learners.

Learner-Level Details

The table displays:

  • Sr. No. → Serial number of the issued certificate.

  • Learner’s Name & Contact → Identifies the recipient of the certificate.

  • Course Name → Course or project associated with the certificate.

  • Issued Date → Date on which the certificate was issued.

  • Expiry Date → Indicates certificate validity (e.g., No Expiry).

  • Status → Shows if the certificate is currently Published.

Actions

For each learner certificate, admins can:

  • Unpublish → Revoke visibility of a certificate if corrections or updates are needed.

  • Download → Export and download the certificate directly for record-keeping or manual sharing.
